Live Meeting Installation
Live Meeting Chat Overview
Live Meeting is a software application from Microsoft that allows people to interact online, in real time. Using Live Meeting is simple but requires a small amount of setup on your end. To ensure a smooth chat experience, please follow the guidelines below.
Computer and Browser Compatibility
Live Meeting works best with Windows-based PCs, using Internet Explorer 6.X and above as the recommended browser. Netscape 7.2 and Firefox are also compatible. Live Meeting will also work with Macs, with Safari 1.2. However, there are a few exceptions to these recommendations. Please see Live Meeting Web-based Console, below if you have compatibility issues*
A high-speed Internet connection is most desirable. Firewalls, antivirus software, and pop-up blockers can interfere with Live Meeting. Some of these settings can be disabled on your computer, but your organization may have security settings that need to be temporarily reconfigured by your IT department. Allow enough time prior to the chat for your IT department to do this.
Installing Live Meeting
If you have never used Live Meeting on your computer, you'll need to download the Live Meeting Console. This is a simple, one-time installation. However, because computer configurations and administrative settings vary, we recommend that you install the software in advance to allow time for any adjustments. Click on the Attendees URL on the Expert Chats page of KnowledgePlex or on the e-Flash announcing the chat. You will be brought to a page and prompted to enter your name and email address. After doing so, you will be brought to another page and see the following message: The Windows-based Live Meeting is not installed on your computer. What do you want to do? You will have two options: Install and join or Use the Web Console. It is recommended that you install. The Web Console provides limited functionality and should only be used if your computer is incompatible with Live Meeting.
- Choose install. A dialogue box will appear, promoting you to Run or Save.
- Click Run. Another box will open. Click Run on this second box.
- The Live Meeting software will then automatically install itself on your computer.
If you have install within 30 minutes of the meeting start time, you will directed to that meeting. If you install prior to this 30 minute timeframe, you will be brought to a Live Meeting Test Console, confirming successful installation.
* Live Meeting Web-Based Console
Not all operating systems and browsers are compatible with Live Meeting's Windows-based Console. Some Mac operating systems and browsers and earlier version of Windows are not supported. Also, some office firewalls will not allow you to download the software applet. When you first attempt to install Live Meeting, the software will automatically check your computer. If there is a compatibility issue, you will be prompted to use the Web-based Console rather than download the Windows-based Console. Click the link and follow the instructions. The Web Console will allow you to use Live Meeting without downloading any software. However, some functions may be limited.
To Attend a Meeting
You may join you meeting 30 minutes before the actual start time. Click the Attendees URL. You will be prompted to enter your name. (Note: The Meeting Name will already be filled in you aren't required to enter a Meeting Key.) Click Join Meeting, enter your email address and company when prompted, and click Join Meeting again. This will bring you to the meeting room. If you attempt to join before this 30 minute timeframe, you will receive the following message: "Sorry this meeting has not started." Simply log in again 30 minutes prior to the meeting start time. You will then be prompted to enter your name, email address, and organization. After doing so, click Join Meeting. Live Meeting has both real-time visual and audio capabilities. The visual piece usually takes the form of PowerPoint presentations, which the presenters control and which will show up on your computer screen. You don't need to do anything to watch. You can listen to the presentation through your computer, but you must have a sound card and speakers. To do so, click the Audio tab at the top of the Live Meeting screen, and in the drop-down menu, click Listen to Internet Audio Broadcast. Make sure your speakers are turned on and up. You may also listen by phone. Call the toll-free phone number on the KnowledgePlex Expert Chats page, and enter the access code to connect.
Troubleshooting
Once you are in the meeting, you will see your name, along with those of other meeting participants, in a panel at the left of the screen. There will be a green box - your "seat" - next to your name. By using the dropdown menu, you can change the color of your seat to send messages to the moderator. If you experience trouble during the meeting, change the color of your seating code to yellow. Someone at the Help Desk will contact you via a one-to-one chat feature. You may also call the Help Desk at 202-652-2446 ext. 903.
